Notcutts choose DCS for Invoice Processing

Notcutts is a family-owned group of 19 individual garden centres. With over 100,000 invoices received per annum from their suppliers, they needed a way to manage and process invoices more efficiently.
Data Capture Solutions (DCS), the leading document management company, performed an analysis of the clients existing systems. A solution, formed of two integrated elements, was designed to manage invoice processing of all active suppliers.
The first step was an outsourced data capture service where DCS act as a receiving point for all supplier invoices, both electrical and physical. All invoices are processed on a daily basis, on completion the data is uploaded to a secure site for transfer to Notcutts internal infrastructure.
The second element of the invoicing solution for Notcutts was a file storage and invoice approval system called FileStore EDM. This solves the issue of a manually intensive invoicing process by allowing bulk scanning and the distributed management of invoices.
Users can view outstanding invoices and approve them. Following processing they are then kept for seven years, in accordance with HMRC regulations.
The streamlined invoice processing solution that DCS implemented for Notcutts has done away with the previous heavily manual process and so has enabled significant cost savings and improved supplier relations.
